Privacy Policy

Central Dental Solutions Inc.

Last updated November 3, 2026

Central Dental Solutions Inc. (“Central Dental Solutions,” “CDS,” “we,” “us,” or “our”) respects your privacy. This policy explains what personal information we collect, how we use it, when we share it, and how we handle your communication preferences and opt-in consent.

This policy applies to central-dental.ca, our customer portal, and related customer communications about our dental supplies, equipment and services. Personal information means information about an identifiable individual.

1. What personal information we collect

Depending on how you interact with us, we may collect:

  • Contact and business details. Your name, clinic or business name, job title, email address, telephone or mobile number, and mailing, billing or delivery address.
  • Inquiries and service details. Information you provide in forms, emails, texts or other communications, including quote requests, service appointments, equipment models and serial numbers, repair issues and customer support history.
  • Account and transaction details. Customer account information, orders, invoices, payment status, delivery details, and information needed to process a payment when you make a purchase.
  • Communication preferences and consent records. Your email or SMS subscription choices, the messages you agree to receive, when and how you opted in, the consent wording presented to you, and any unsubscribe or opt-out requests.
  • Website and device information. Technical information such as your IP address, browser and device type, pages visited, referring website, visit times, and cookie identifiers, where collected by our website or its providers.

We collect information directly from you and, where appropriate, from someone authorized to act for your business. Technical information may be collected automatically. We limit collection to information reasonably needed for the purposes described in this policy.

2. How we use the information

We use personal information to:

  • Respond to inquiries, prepare quotes, and provide customer support.
  • Process orders and payments, manage customer accounts, and arrange deliveries.
  • Schedule and provide equipment installation, maintenance, repairs, handpiece service and other requested services.
  • Send relevant account, order, delivery, appointment and repair updates.
  • Send newsletters, offers and product updates with your consent or as otherwise permitted by law. Promotional SMS requires the separate consent described below.
  • Operate, secure, troubleshoot and improve our website and services, including understanding website use where permitted.
  • Maintain consent records, honour communication choices, meet legal and recordkeeping obligations, and address fraud or disputes.

We will explain any materially different purpose and obtain additional consent where required before using your information for that purpose.

3. Consumer opt in information and sharing

Opt-in information includes your contact details, communication preferences, and records showing when and how you agreed to receive messages. We use it to send the messages you requested, manage subscriptions, honour opt-outs, and demonstrate that we have the required consent.

We do not sell, rent or share mobile numbers, SMS opt-in information or text-message consent with third parties or affiliates for their own marketing or promotional purposes. Your consent applies to Central Dental Solutions and does not authorize another business to send you messages.

Providers that operate our communication systems may process limited contact details, message content and consent records solely to deliver and support messages for us, maintain consent evidence, and honour opt-outs. We require appropriate confidentiality, security and use restrictions. These providers are not permitted to use your opt-in information for their own marketing.

We apply the same restriction to email subscription consent: providers may administer CDS communications on our behalf, but we do not sell or give that consent to other businesses for their marketing. Records of your opt-in consent and subscription choices are excluded from the general sharing permissions elsewhere in this policy, except for the limited processing described here or disclosures required by law.

4. Text message terms and consent choices

If you opt in to SMS messages from CDS, we may text you about your inquiries, quotes, orders, deliveries, service appointments and repair updates, within the scope of your consent. Promotional texts about offers or products are sent only if you separately provide express written consent to receive them.

Providing a telephone number, making a purchase or submitting a general inquiry does not, by itself, enrol you in ongoing SMS or promotional messages. If you text us first, we may reply to that inquiry; this does not subscribe you to future promotional texts. Consent to marketing or SMS is optional and is not a condition of purchasing products or services.

  • Frequency and charges. Message frequency varies with your requests and subscriptions. Message and data rates may apply under your mobile plan.
  • Stopping messages. Reply STOP to opt out of SMS messages. You can also ask us to stop using the contact details below. We will honour your request promptly; a final confirmation of your opt-out may be sent.
  • Getting help. Reply HELP for assistance, email sales@central-dental.ca, or call 204-885-7530.

To stop promotional emails, use the unsubscribe link in the email or contact us. Unsubscribing from marketing does not prevent necessary communications about an active order, account or service. After an SMS opt-out, we will use another appropriate channel for those communications.

5. When we share other personal information

Subject to the opt-in restrictions above, we may share information reasonably necessary for the following purposes:

  • Operating our business. Providers of website hosting, customer portals, business systems, payment processing, communication delivery and technical support may process information on our behalf.
  • Fulfilling your requests. Couriers, manufacturers and service partners may receive the contact, delivery, equipment or order details needed to complete a delivery, repair, warranty claim or other requested service.
  • Legal obligations and protection. We may disclose information where required or permitted by law, including to respond to a valid legal demand, address suspected fraud, or establish or defend legal rights.

We limit information shared to the relevant purpose and require appropriate protection from providers acting on our behalf. We remain responsible for personal information under our control. Other disclosures require your consent unless the law provides an exception.

6. Cookies and similar technologies

Our website may use cookies and similar technologies to support functions such as sessions, preferences, security and form submission. Where analytics or marketing tools are used, they may collect technical and browsing information to help us understand website use, measure campaigns or present relevant advertising.

We obtain consent for optional tracking where required by law. You can manage cookies through your browser settings and any cookie controls made available on our website. Blocking cookies may affect some functions. Browser settings may not control every similar technology; contact us for information about the tools in use and available choices.

Third-party features, such as embedded maps, may receive technical information when they load or when you interact with them. Their providers’ privacy notices explain their own practices.

7. Where information is processed

We and our service providers may store or process personal information in Canada or other countries, including the United States. Information processed outside Canada may be subject to the laws of that country and accessible to its courts, law enforcement or other authorities. We use contractual or other appropriate safeguards for information processed on our behalf. Contact us if you have questions about these arrangements.

8. Retention and protection

We retain personal information only as long as reasonably necessary for the purposes for which it was collected and applicable legal requirements. Relevant factors include active accounts and services, accounting obligations, warranties, disputes, and evidence of consent or withdrawal. We may retain a limited record of an opt-out so we can continue to respect it. Information no longer needed is securely deleted, destroyed or anonymized.

We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information and restrict access to people who need it for authorized purposes. No website, communication method or storage system is completely secure. If a privacy breach occurs, we will provide notifications and reports required by applicable law.

9. Your privacy choices and rights

You may ask to access the personal information we hold about you, learn how it has been used or disclosed, and request correction of inaccurate or incomplete information. You may also withdraw consent to further collection, use or disclosure, subject to legal or contractual restrictions and reasonable notice. We will explain any effect on services you request.

Send requests to the contact below. We may need to verify your identity or authority using information proportionate to the request. We normally respond to access requests within 30 calendar days. If a lawful extension is needed, we will notify you within that period and explain the reason and your complaint rights. Any refusal will be explained where the law permits.

You can raise a concern with our privacy contact. You may also contact the Office of the Privacy Commissioner of Canada at https://www.priv.gc.ca about your privacy rights or a complaint.

10. Patient information and external websites

Our website is intended for dental professionals and business contacts. Please do not include patient names, health numbers, diagnoses, X-rays or patient records in general website forms, ordinary email or text messages. If a service may require patient information, contact us first to arrange an appropriate process.

Our website may link to external websites operated by other organizations. Their privacy practices are governed by their own notices. This does not remove our responsibility for providers processing personal information on our behalf.

11. Changes to this policy

We may update this policy as our services, practices or legal obligations change. We will post the revised version and update the date above. For material changes, we will provide additional notice and obtain new consent where required. Posting an update does not replace consent that the law requires us to obtain.
